The Tasks module lets you create, assign, track, and approve tasks and deliverables across your campaigns — all in one place. This guide covers everything from navigating the dashboard to completing the full deliverable approval workflow.
1. Module overview
The Tasks module is a campaign-aware task management system. Key things you can do:
- Create one-time or recurring tasks with structured deliverables
- View tasks in List or Kanban mode
- Filter by channel, priority, assignee, and group
- Create tasks from AI-generated recommendations
- Manage a full submission → review → approval workflow per deliverable
- Comment on tasks, view activity history, and use AI-powered task summarization
2. Task views and filters
Available views
Five tabs at the top of the dashboard filter which tasks are shown:
- All Tasks — every task within the selected date range that you have permission to see
- My Tasks — tasks where you are the assignee (the Assignee filter is disabled in this view)
- Due Today — tasks with a due date of today
- To Approve — tasks or deliverables waiting for your approval
- Overdue — tasks past their due date that aren't yet complete
Search and filters
Use the Search Tasks… bar to filter by name. Use the dropdowns to filter by:
- Channel — the marketing channel associated with the task
- Stage — Planning, In Progress, Pending Approval, Completed, Cancelled
- Priority — Low, Normal, High, Critical
- Assignee — person the task is assigned to (disabled in My Tasks view)
- Group — the group the task is associated to
Use the date range picker (top-right) to adjust the time window for which tasks appear.
Switching between List and Kanban
Click the Kanban View button in the top-right to toggle views. Click the list icon to return to List view.
3. Creating a task
Tasks can be created in two ways.
From the Tasks module
Click + Create New Task in the top-right. Fill in the task details form:
- Task Name
- Due Date
- Task Stage (Planning, In Progress, Pending Approval)
- Priority Level (Low, Normal, High, Critical)
- Assignee(s)
- Approver
- Recurrence — select either one-time task or recurrent task; if recurring, set the frequency (Daily, Weekly, Monthly)
- Task Details
Optional:
- Channel Tag, Associated Group, Associated Campaign
- Add Attachments
- Add Deliverables
Adding deliverables
Inside the creation form, you can add one or more deliverables. Each deliverable needs:
- Deliverable Name
- Due Date
- Assignee — the person who will submit the work
- Approver — the person who will review and approve the submission
- (Optional) Deliverable Description
From an AI recommendation
The platform surfaces AI-generated recommendations based on campaign performance. When a recommendation is approved, a Create Task button appears on it.
Clicking it auto-populates the task with an AI-generated summary, suggested assignees from your org, and pre-filled deliverables based on the required action. You can review and adjust everything before saving.
4. Working in List view
List view shows tasks as rows in a paginated table. Each row displays task name, priority, stage, due date, assignee, channel, campaign, and action icons.
Per-row actions
- Click the task name — opens the Task Preview side panel
- Click the Priority or Stage badge — change the value inline without opening the full task
- Comment icon — navigates directly to the Comments tab of that task
- Edit icon — opens the full task page for editing all details
Batch editing
Select multiple tasks using the checkboxes on the left. A batch action bar appears at the top. You can change Stage, Priority, or Due Date across all selected tasks at once, or delete them.
5. Working in Kanban view
Kanban view organizes tasks as cards grouped into columns by stage. It gives you a visual workflow overview across the entire board.
Drag and drop
Drag any card from one column and drop it into another to move the task to that stage. The task updates automatically.
Sharing a task link
In Kanban view, each card has a share icon. Click it to copy a direct link to that task to your clipboard. Recipients will only see the task if they have permission to access it.
Differences from List view
- No batch editing in Kanban mode
- Drag-and-drop to change stage (not available in List mode)
- Share link available from the card
6. Task preview and full task page
Task preview
Click a task name (in List view) or a card (in Kanban) to open the Task Preview side panel. It shows:
- Task name, stage, due date, assignees, priority, and description
- Attachments
- A snippet of deliverables with their completion status
- Recent comments and recent activity
Full task page
Click Manage Task in the preview (or the edit icon in List view) to open the full task page. It has four tabs:
- Overview — all task metadata, editable fields, recurrence settings, and AI-powered task summarization. Click Summarize to generate or refresh a summary.
- Deliverables — list of all deliverables with progress. Click any deliverable to open its workflow. A task can only be marked Done once all deliverables are complete. Users with the right permissions can use Force Complete to complete all deliverables at once.
- Comments — all comments made on deliverable options across the task, each with a link back to the relevant deliverable.
- Activity Log — a chronological history of all changes, updates, and approvals on the task.
7. Deliverable workflow
Each deliverable follows a structured, role-based workflow. What you can see and do depends on your role within that deliverable.
Roles and permissions
| Your role | What you can do |
|---|---|
| Assignee | Upload options (files or links), add notes and reactions, comment on options. Can save content as a draft — drafts are only visible to you until submitted. |
| Approver | View submitted options and the assignee's notes. Approve one option or request changes with feedback. |
| Both | Can submit options and approve them directly. |
| Neither | View-only access. Cannot submit, approve, or add feedback. |
Step-by-step workflow
Step 1 — Assignee uploads options
Open the deliverable and upload one or more options — either a file (image or asset) or a link. You can save without submitting to keep content in draft (only you can see it).
Step 2 — Assignee submits
Once ready, click Submit. The options (and any notes) are now visible to the approver.
Step 3 — Approver reviews
The approver views the submitted options and can add reactions and comments. They then either:
- Approve one option — the deliverable is marked complete
- Request changes — provide feedback on what needs to be revised
Step 4 — Revision loop (if needed)
If changes are requested, the assignee revises and resubmits. This continues until the approver is satisfied.
Step 5 — Deliverable complete
Once approved, the deliverable is marked complete. When all deliverables in a task are complete, the task can be marked as Done.
8. Permissions and visibility
What you can see and do across the Tasks module depends on your platform role and your specific assignments within each task or deliverable.
- Users see only tasks they are assigned to, unless they have broader organizational access.
- Admins and managers typically have visibility across all tasks.
- Within each deliverable, access is scoped by your role (Assignee, Approver, Both, or Neither) — see Section 7 above.
- Creating and deleting tasks, force-completing tasks, and approving deliverables may be restricted to certain roles.
Can't see a task or take an action? Contact your administrator to review your role and permissions.
